Receptionist and Administrative Assistant

We’re looking for an experienced progressively minded, self-driven individual for the position of Reception/Administrative Assistant to help us work towards an Ontario that includes everyone. This position is for an energetic, organized and results-oriented individual who can work under the direction of the Provincial Director or Executive Assistant to ensure the effective functioning of the Provincial Office.

DUTIES

  • Open the office each morning. Punctuality and in-person attendance are mandatory.
  • Answer the reception phone and triage a wide range of questions and concerns from members, donors, and constituents.
  • Manage and effectively prioritize multiple external correspondence inboxes.
  • Liaise with building management and vendors on administrative, maintenance, and security matters.
  • Assist in orientation and onboarding of new employees.
  • Receive, sort, distribute, and send mail, including confidential information and payments, and coordinate courier services as needed.
  • Draft and distribute well-written correspondence and reports.
  • Engage in donor and member stewardship and maintain database accuracy as needed.
  • Ensure the office is consistently well-stocked by regularly auditing inventories and ordering supplies as needed.
  • Source vendors and request contract proposals.
  • Support other departments as needed with tasks including data entry, phone calls, office management and other tasks as assigned.

QUALIFICATIONS & EXPERIENCE

  • Experience in reception and administration dealing with people from a diverse range of backgrounds.
  • Demonstrated tact, sound political judgement and acuity, and management of sensitive and confidential information.
  • Familiarity with party stakeholders and networks including labour and social movements is an asset.
  • Proficiency in Raiser’s Edge or similar CRM an asset.
  • Proficiency in French and languages in addition to English is an asset.

SKILLS

  • Knowledge of the policies, practices and structures of the ONDP is an asset.
  • A polite, engaging and enthusiastic telephone manner.
  • Awareness of and commitment to diversity, equity and inclusion practices and policies.
  • Exceptional written communication skills.
  • Strong interpersonal and communication skills, ability to multi-task, highly organized and detail-oriented.

TERMS OF EMPLOYMENT

This position is compensated as per Appendix IV of the ONDP Collective Agreement. Starting salary is $55,603.79 (Class 2) per annum. The ONDP has an office at 2069 Lakeshore Blvd West, Etobicoke, ON M8V 3Z4.

In recognition of the time and labour involved in preparing for and attending an interview, the ONDP will financially compensate interviewees at a fixed rate of $75 per interview.

In the event that a candidate is asked to prepare a presentation or assignment for an interview, the ONDP will financially compensate the candidate for that work at a rate equal to the hourly rate for the position, based on the number of hours the hiring committee believes the task should take.
